Storing lyophilised material in a shared lab freezer

Most of the storage complaints we see are not caused by anything that happened before dispatch. They are caused by where a sealed vial sits afterwards, and who else has access to the door.

A shared lab freezer is one of the most common places for stored material to be quietly compromised, and it is rarely because the freezer is faulty. It is because a shared freezer has traffic — multiple groups opening the door, no single owner of what is inside, and inventory nobody is quite responsible for. None of this requires a mistake by any one person. It just requires a normal working week.

Position matters more than most people assume

Door shelves see the largest temperature swings in any freezer, simply from how often the door opens and from the warm air that rolls in every time it does. Material stored at the back, away from the door and away from the evaporator fan, sits through a far more stable environment than material stored at the front for convenience.

Auto-defrost cycles are the enemy you cannot see

Most shared lab freezers are frost-free, which means they periodically warm the cabinet above the set point to clear ice from the evaporator coil. That is fine for the food-storage use case they are designed around. For lyophilised material sitting loose on a shelf, it means a scheduled, invisible warm-up every day or two. A dedicated manual-defrost unit avoids this entirely; where that is not available, a well-sealed, insulated storage box inside the shared unit buffers most of the swing.

  • Use a dedicated, labelled box or lockable drawer rather than loose shelf space.
  • Tape a simple inventory sheet to the lid — lot number and date received is enough to make FIFO stock rotation possible without guesswork.
  • Keep the box away from the door and away from the evaporator fan housing.
  • Log any known power outage or extended defrost event in a shared logbook, even a short one.
  • Agree with the freezer's other users where new stock goes, so nobody discovers three overlapping storage systems by accident.

When the power actually goes

For anything stored long-term in a shared facility, a freezer alarm or a standalone data logger is worth the modest cost — most shared units are not on generator backup, and a weekend outage can go unnoticed until Monday. If an outage does happen, note the duration and treat the affected stock as a known-risk batch rather than assuming it rode it out fine.

None of this is about the chemistry of any particular material. It is facilities discipline, and it is cheap relative to the stock it protects — which is exactly why it is the first thing worth checking when something in a shared freezer doesn't look right.
