How we keep the cold chain intact from freezer to your bench
What actually happens between a vial leaving our −20 °C store and landing on your bench: packaging, couriers, temperature logging, and what we do when a delivery goes wrong.
A cold chain fails quietly. Nobody sees the moment a parcel sits on a warm loading bay for four hours, or the moment a courier's overnight hub loses power for an hour on a Tuesday. All the customer sees is a vial that arrived, and material that may or may not have travelled the way it should have. Keeping the chain intact is an operations problem, not a chemistry one, and it is solved with packaging discipline and boring, repeatable process.
Packing to the worst case, not the average case
We do not pack for a typical Tuesday delivery. We pack for a parcel that gets held an extra day over a bank holiday weekend in August, because that is the scenario that actually causes a failure, and it happens every year to someone. Every shipment is built to survive roughly twice the transit time we expect.
- An insulated shipper rated for the volume being sent, not a generic size used for everything.
- Gel packs conditioned in a dedicated blast freezer for at least 24 hours before packing — not pulled from a domestic freezer at −18 °C, which is not cold enough to hold a payload down for a full transit window.
- A sealed inner pouch, so a slow leak in packaging never means an open vial sitting in meltwater.
- A single-use temperature logger for any multi-unit or high-value order, packed against the product rather than against the wall of the box.
Choosing a courier that tells us the truth
We use a named-day tracked service with a guaranteed morning delivery window rather than a standard economy parcel service, even though it costs more per shipment. The reason is not speed for its own sake — it is that a guaranteed window means a predictable transit time we can pack against, and a service level we can hold the courier to when something goes wrong.
The logger is not decorative
Every shipment above a set order value travels with a logger that records temperature on a timestamped curve for the full journey. The QR code on the delivery note pulls up that curve against the batch's storage requirement, so a receiving lab can check it in ten seconds rather than take our word for it.
What happens when a curve looks wrong
If a logger shows a sustained excursion above the material's storage threshold, we do not ask the customer to argue their case. The batch is replaced at no cost, and we open our own investigation into where the excursion happened — packing, courier handling, or a hold at a depot — because if it happened once it can happen again to the next order. Report anything that looks off, even if you decide to use the material anyway. The report is what lets us fix the actual cause.
